A partnership between easycopiers and Ricoh has helped Oakham School transform its print facilities, reducing costs by up to 30%, cutting management burden and increasing efficiency and usability for staff and students. The success of the project prompted the school’s business manager to use it as an example of what effective business transformation should look like for increasing quality and reducing costs.
Oakham School is a co-educational boarding and day school for 1,000, 10 to 18-year olds founded in 1584. The school has 60 buildings on the campus and some around the market town of Oakham, East Midlands.
The campus includes classrooms and other facilities such as science, design technology and art centres, a theatre and music school, and 40-acres of playing fields. Providing services to staff and pupils across a dispersed site like this is challenging, especially for general resources such as printing.
Oakham replaced its existing print service with an easycopiers’ Managed Print Service based on Ricoh office and production print technology. It comprises 30 Ricoh Multifunction Products replacing campus devices and two Ricoh digital colour and mono production presses replacing four existing devices in the print room. PaperCut software is used to manage the print service.
Now with two new Ricoh presses in the print room; capacity, cost-effectiveness, quality and flexibility have increased. Outsourced work can now be done in-house which reduces costs, increases flexibility and improves accuracy as print can be ordered on demand. When it was outsourced, staff tended to over-order to cover expected needs.
The capability and added features of the Ricoh presses have improved print quality and helped to cut out a large amount of manual finishing. The print room is now producing a wide and complex variety of print jobs such as brochures, booklets, tickets and invitations, therefore, significantly improving, simplifying and reducing waste throughout their entire print system.
