By Implementing a document management solution using multifunctional scanning, photocopier devices and software available from our partners Canon Ricoh and Develop. Easycopiers achieved the following within the head office in Milton Keynes :-

As well as supplying and servicing the world's leading multifunctional photocopier printing scanning devices, easy copiers have been designing and installing document workflow solutions for a number of years. When we moved into our new offices last year, it was the ideal time for us to implement our own document workflow solution.
We had over 1,000 square foot of storage space in our old office being taken up with archive boxes containing everything from customer files to engineering reports to accounts documentation. To free up valuable space and not having to move all the information easy copiers installed a bespoke document management solution. All of our customer information is quickly and readily available to anyone who needs access to it.
This enables our accounts department to retrieve all information relating to our customers from their desktops rather than having to search through filing cabinets and archive boxes.
Our sales force can access all relevant documentation from wherever they are, using the web based front end. This gives them instant access to their client files.
In addition from speeding up the retrieval time of documentation, all of our information is backed up, enabling us to have a complete disaster recovery process in place. Due to the full audit trail, HMRC have authorised us to store all financial documentation within the system.
The areas that had been earmarked for archiving rooms are now being used as relax places, allowing staff to get away from their desk and meetings to be held. By implementing this document management solution, easy copiers has minimised the number of filing cabinets and do not use archive boxes. Freeing up valuable office space and promoting a cleaner working environment.
All of our documentation, both paper and electronic, is fully backed up. This is giving us a complete disaster recovery solution if anything should ever happen to our paper files. All of our staff can quickly access documentation that they need from anywhere, be it in the office on their PCs, via the web at client sites, or via their laptops. The solution has paid for itself inside three months as staff are implementing and working on projects that are helping easy copiers continue to grow.
